These Terms & Conditions (“Terms”) apply to all trips, events, and services offered by Solmates Travel (“we”, “us”, “our”). By booking a trip or participating in any Solmates Travel experience, you (“you”, “the participant”) agree to these Terms.

1. Booking & Payment

1.1 Booking Platforms

All bookings for Solmates Travel trips are processed through:

  • Plotpackers, or

  • WeTravel

These platforms manage payment processing, participant information, and booking confirmations.

1.2 Deposit & Final Payment

Each trip may require:

  • A deposit to secure your spot

  • A final payment before the deadline stated on the booking page

Your booking is confirmed only after payment is received.

1.3 Payment Providers

Payments are handled securely through Plotpackers or WeTravel. Solmates Travel does not store or process your payment details directly.

2. Cancellation & Refund Policy

2.1 Participant Cancellations

If you cancel your participation:

  • 50% of additional payments is refundable if participant notifies organizer of cancelation 45-60 days before trip start.

  • No refunds on additional payments starting 45 days before trip start date.

  • Refund conditions depend on the specific trip and will be stated on the booking page

  • Refunds are processed according to Plotpackers or WeTravel policies

2.2 Trip Cancellations by Solmates Travel

We may cancel a trip due to:

  • Safety concerns

  • Political or environmental conditions

  • Insufficient participants

  • Partner cancellations

If we cancel:

  • We are not responsible for additional costs such as flights, visas, or personal expenses

3. Travel Requirements

3.1 Passport & Visa

You are responsible for:

  • Holding a valid passport

  • Obtaining necessary visas

  • Meeting entry requirements for the destination country

3.2 Travel Insurance

We strongly recommend travel insurance covering:

  • Medical emergencies

  • Trip cancellations

  • Lost luggage

  • Personal accidents

Some trips may require mandatory insurance; this will be stated on the booking page.

4. Health, Safety & Personal Responsibility

4.1 Fitness & Health

By joining a trip, you confirm that:

  • You are physically and mentally able to participate

  • You have disclosed relevant medical conditions, allergies, or injuries

4.2 Activities

Trips may include activities such as hiking, swimming, water sports, or cultural experiences. Participation is voluntary and at your own risk.

4.3 Liability

Solmates Travel is not liable for:

  • Injuries

  • Illness

  • Loss or damage of personal belongings

  • Delays or changes caused by third‑party providers

We take all reasonable steps to ensure safety but cannot guarantee risk‑free travel.

5. Working With Partners

Some trips are:

  • Fully organized by Solmates Travel

  • Co‑hosted with partners

  • Operated through Plotpackers or local providers abroad

In these cases:

  • Solmates Travel acts as a facilitator

  • Local partners may have their own terms and policies

  • We are not responsible for actions or omissions of third‑party providers

6. Photos & Media

During trips, we often capture photos and videos to document the experience.

By participating, you acknowledge that:

  • Photos and videos may be used for marketing, social media, and website content

  • We always communicate this during the trip

  • You may request not to be photographed or filmed

If you prefer not to appear in content, simply let us know.

7. Behavior & Community Guidelines

Solmates Travel is built around connection, respect, and positive group energy.

Participants agree to:

  • Treat others with kindness and respect

  • Follow safety instructions

  • Behave responsibly during activities

  • Avoid disruptive or harmful behavior

We reserve the right to remove participants from a trip if behavior endangers others or disrupts the experience. No refunds will be issued in such cases.

8. Changes to Itinerary

Travel can be unpredictable. We may adjust the itinerary due to:

  • Weather

  • Local conditions

  • Partner availability

  • Safety concerns

We always aim to provide an equal or better alternative.

10. Governing Law

These Terms are governed by Dutch law. Any disputes will be handled by the competent courts in the Netherlands.
